The five numbers that set your price
Almost every commercial cleaning quote in Indianapolis comes down to the same five inputs. Send them and you get a useful answer quickly.
Cleanable square footage, which is a smaller figure than your leased square footage. Server rooms, storage, vacant suites and areas you clean yourself all come out. If you only have the leased figure, send that and tell us roughly what is excluded.
Frequency. Five nights, three nights, weekly, or a day porter window during occupancy. If you are unsure, say what your complaints are and we will suggest a frequency at the walkthrough.
Floor types by area. Carpet tile, broadloom, VCT, LVT, sealed concrete, polished concrete, ceramic, terrazzo or original wood. This decides your periodic floor program, which is usually the largest single variable after frequency.
Restroom fixture count. Toilets, urinals and sinks, added up across the building. Fixtures drive labor harder than floor area does, and it is the number most quotes get wrong.
Occupancy. How many people are in the building on a normal day, and which days are the busy ones. Hybrid schedules have changed this across Central Indiana, and a building that fills Tuesday through Thursday and empties on Friday should be priced that way.
Useful extras if you have them
A floor plan, even a rough one. Your current cleaning specification, if you have a cleaner now. Your notice period and target changeover date. Your building’s access rules: badge process, freight elevator hours, dock schedule, alarm arrangements and any vendor compliance portal. The certificate of insurance wording your property manager requires. For clinical space, your room list and any existing protocol. For industrial sites, your shift pattern and site induction requirements.
What happens after you send the form
Same or next business day. Someone reads your form and calls or emails back. If anything is missing we ask for it then rather than sitting on the request.
Within a day or two. You get an indicative range based on the five numbers, so you know early whether the conversation is worth continuing.
Within about three business days. The walkthrough. It takes around 30 minutes. We measure cleanable square footage, count fixtures, record floor types and condition, look at trash routing and note every access constraint. You do not need to prepare anything.
Within two business days of the walkthrough. The written scope and the flat monthly price. The scope is a task list split into daily, weekly and monthly frequencies, area by area, with the price beside it. Periodic work such as strip and wax or carpet extraction is quoted separately so your monthly line stays flat.
Then it is your call. No follow-up sequence and no pressure. If you want changes to the scope, we reissue it. If the timing is wrong, tell us when to come back.
After a start date is agreed
Insurance certificates, badge requests and vendor portal registrations are handled before day one, and they are the part that most often causes delay. A crew is assigned to your building and introduced to you before the first clean. A supervisor inspects the building in week two and walks it with you, then inspections continue on a fixed schedule.
Common questions
Can you quote without visiting the building?
We can give you a range from square footage, frequency, floor types, fixture count and occupancy. A firm flat monthly price needs a walkthrough, because trash routing, access restrictions, floor condition and how the building is actually used all move the number. The walkthrough takes about 30 minutes and costs nothing.
How long does a walkthrough take to book?
Most walkthroughs across Marion County and the collar counties are booked within three business days. If you are working to a lease start date or a notice period that expires soon, say so when you send the form and we will work back from your date.
What if we are still under contract with another cleaner?
That is the normal situation. Send us your notice period and your target changeover date. Quoting and paperwork can run in parallel with your notice, and most switches overlap by a few days so nothing is missed between the last clean by one company and the first by another.
Will you match our current cleaning specification?
Send it and we will price against it line by line, which makes the comparison honest. We will also flag anything in it that we think is under-specified or over-specified for your building, with the reasoning, so you can decide what the new scope should say.
Do we need to provide supplies?
No. Chemicals, equipment, trash liners, hand soap, paper towel and tissue are quoted into the monthly price by default. If your building already buys consumables under another contract, tell us and they come off the quote.
Who will we deal with after we sign?
One named point of contact reachable by phone, email and text, plus the supervisor who inspects the building. You meet the assigned crew before the first clean. Escalation goes through the same person rather than a call center.
